An inventory template is a reusable set of stock rules that controls how the app manages your eBay quantities. With it, you set how much stock eBay sees, a threshold that guards against overselling, a per-buyer purchase limit, and what happens when an item runs out. Defining these once in a template and reusing it keeps your eBay availability organized and accurate across your catalog.
You create one on the Templates page by opening Add New Template and choosing Inventory, which opens the Create Inventory Template form.
Template name
Start by giving the template a clear, unique name in the Template name field. This is the name you'll recognize when assigning the template later while setting up profiles, so make it descriptive enough to stand out from your other templates.
Customise Inventory
This section lets you take control of the stock value sent to eBay, whether you want to override your Shopify quantity or reduce it. You choose the method from the Customise Inventory dropdown, and the fields below adjust to match your choice.
With Set Fixed Inventory for eBay Products selected, you publish a fixed stock number to eBay regardless of your actual Shopify level. You enter that number in the field provided, and every product using the template lists with that quantity on eBay.
Beneath it is an important safeguard: the checkbox Use Shopify Inventory If Fixed Inventory Greater Than Shopify Inventory. When you tick it, the app compares your fixed number against your real Shopify stock, and if the fixed number is higher than what you actually have, it publishes the lower Shopify quantity instead. This protects you from overselling, since the fixed value never advertises more units than you can fulfill. Leave it unticked if you want the fixed number used as-is.
The dropdown also offers Reserve Inventory for Shopify Products. Selecting it lets you hold back a set number of units from eBay, keeping them reserved for your Shopify store rather than publishing your full stock to the marketplace. You enter the quantity to reserve in the field provided, and the app sends eBay your Shopify inventory minus that reserved amount. For example, if a product has 50 units in Shopify and you reserve 10, eBay lists 40.
Threshold Inventory sets a minimum stock buffer to prevent overselling. You enter a number, and when your Shopify inventory drops to that level, the app automatically marks the item as out of stock on eBay even though some units technically remain. This gives you a safety margin so the last few units don't sell on eBay before you can react.
The threshold does not apply to products using customized inventory settings. If a product's stock is being set through the Customise Inventory option above, the threshold rule is bypassed for it.
Quantity restriction per buyer
This field controls how many units a single customer can buy in one purchase. Entering a value caps the quantity per buyer, which is useful for limited or high-demand items where you'd rather spread availability across more customers than let one buyer clear out your stock.
Delete out-of-stock products
The toggle ties your eBay listings directly to your Shopify stock. When it's on, the app automatically ends an eBay listing as soon as that product's Shopify stock hits zero, so your store never advertises something you can no longer fulfill. This keeps your listings current without you having to manually pull down sold-out items.
