What is a Profile and Why is Profiling Important?

A profile in the Etsy Integration app serves as a blueprint for listing products on Etsy. It acts as a centralized configuration that bundles all the necessary details required for publishing your products, such as category selection, attributes, shipping policies, inventory, return policies, and pricing rules. By assigning products to a profile, you streamline the listing process and ensure consistency across similar products.

What is Profiling?

Profiling is the process of grouping your products into distinct sets based on shared characteristics like category, style, shipping rules, inventory, price, and policy settings. Each profile allows you to:

  • Simplify Bulk Listing: Apply shared configurations to multiple products, reducing manual effort.

  • Enhance Accuracy: Ensure each product meets Etsy's specific listing guidelines by assigning the appropriate category and attributes.

  • Improve Organization: Organize products logically, enabling quicker updates and management.

  • Optimize Etsy Visibility: Select the most relevant Etsy category and attributes to improve your products’ discoverability.

How Profiling Works

  1. Profile Creation:
    Begin by creating a profile. Navigate to the Profiling section in the app, accessible via the left-hand menu (the fourth option). Click the "Create Profile" button to open the setup page, as seen in the screenshot below.

  2. Profile Configuration:

    • Etsy Category: Choose the most relevant category to match your product type, helping customers find your items easily.

    • Attributes & Conditions: Specify required details like materials, styles, or personalization options. Use conditions to assign products dynamically.

    • Templates: Assign preconfigured shipping, pricing, inventory, and policy templates for the products grouped under this profile.

    • Listing Details: Include additional product details, such as materials, production partners, or shop sections, to comply with Etsy’s listing requirements.

  3. Assign Products to Profiles:
    Only products assigned to a profile can be listed on Etsy. Profiles act as filters, grouping products, making bulk listing easier and more manageable.

  • Efficiency: Save time by automating repetitive settings across products.

  • Scalability: Create and manage multiple profiles to handle a wide range of product types or categories effortlessly.

You can ensure smooth product management and publishing, even with a large catalog of items with profiling. Take control of your listings with well-structured profiles to maximize efficiency and visibility on Etsy.

The Profiling Grid


The Profile Grid is where you can view all the profiles you've created, along with essential details for managing them. Each profile is displayed with the following information:

  • Name: The name you assigned to the profile for easy identification.

  • Created On: The date when the profile was created, helping you track its history.

  • Status: This shows whether it is complete or incomplete.

  • Products: The number of products currently assigned to that profile.

  • Profile Type: Indicates whether the products are digital or non-digital.

  • Actions: This column allows you to manage the profile further, such as editing, deleting, or performing specific tasks related to that profile.

  • Toggle: Shows whether the profile is active or inactive.

This grid helps you keep track of your profiles efficiently and gives you the flexibility to quickly access and manage product listings on Etsy.

Let’s talk about the profile grid first and then we will move on to adding a new profile.

 The profile grid section has a search bar at the top where you can search for profiles by their names. Click on the search filter to get the search field from the top right corner of the grid.


Step-by-Step Guide to Sort Profiles 


Sorting your profiles helps you efficiently manage and organize them based on their attributes such as enable/disable status, completeness, and creation date. Here’s how you can sort profiles step-by-step:

You can search for a profile directly by its name using the search bar at the top of the profiling page.


Alternatively, Locate the Sorting Filters

At the top of the profile list, you will find sorting options such as:

  • Enable/Disable Status: Shows profiles that are currently enabled or disabled.

  • Completion Status: Filters profiles based on whether they are complete (all required attributes filled) or incomplete.

  • Creation Date: Allows sorting by when a profile was created using a calendar.

Sort Profiles by Enable/Disable Status


Find the filter option for Status (usually a dropdown menu or toggle).

Select:

  • Enabled: To display only the active profiles.

  • Disabled: To display profiles that are inactive or disabled.

Sort Profiles by Completion Status


  1. Use the Completion Status filter to categorize profiles as:

    • Complete: Profiles with all required details filled in and ready for use.

    • Incomplete: Profiles missing mandatory details, which need to be updated before publishing products.

Sort Profiles by Creation Date

  1. Locate the Date Filter or Calendar Icon at the top of the page.

  2. Click on the calendar to select a specific time period:

    • Start Date: Choose the earliest creation date for profiles you want to view.

    • End Date: Choose the latest date to define the range.

  3. Apply the filter, and the profile list will display profiles created within the selected period.

Combine Sorting Options

  1. You can use multiple filters together for more precise sorting:

    • For example, select Enabled profiles, Complete status, and a specific time period to view only profiles matching all these criteria.

  2. The app will display results dynamically based on the selected options.

Save or Reset Filters


  1. If you frequently sort profiles with specific criteria, save your filter settings (if the app provides this option).

  2. To view the entire list again, reset the filters by clicking the Reset or Clear All button.

By following these steps, you can efficiently manage profiles and quickly locate the ones you need based on their status, completeness, and creation date.

Create a Profile

When creating a profile in the app, you'll be prompted to fill in essential details to streamline product listing on Etsy. Here's a breakdown of the fields you'll encounter:

  • Profile Name: Assign a unique name for the profile.

Basic Mapping


  • Etsy Category: Describe your product in 2-3 words to receive relevant category suggestions for better visibility on Etsy.

  • Search Product Category: Use this field to locate and select the appropriate category for your product.

  • For example, if you write shoe, you will get certain results from which you can select the closest match.

Conditions

How to use Conditions to Sort Products 

When creating a profile, the Conditions feature allows you to filter and assign products dynamically based on specific criteria. You can use these conditions to match products that share attributes like title, vendor, type, or tags. The Any Condition and All Condition options determine how the filtering logic is applied.



1. Any Condition (OR Logic)

When you select Any Condition, the profile will include products that match at least one of the specified conditions. This is useful when you want a broader grouping of products.






Example Use Case:

  • Conditions Applied:

    • Product Title equals "D"

    • Product Type does not contain "A"

Result:
The profile will include all products where:

  • The title equals "D" OR

  • The type does not contain "A".

This option is ideal when you want to capture a diverse range of products that meet one or more criteria.

2. All Condition (AND Logic)

When you select All Conditions, the profile will only include products that meet every single condition specified. This is useful for a more precise and targeted grouping.


Example Use Case:

  • Conditions Applied:

    • Product Title equals "D"

    • Product Type does not contain "A"

Result:
The profile will only include products where:

  • The title equals "D" AND

  • The type does not contain "A".

Additional Condition Options

For each product attribute, you can use different elimination or sorting conditions to fine-tune the profile:

  • Equals: Matches the exact value (e.g., Title equals "D").

  • Contains/Does Not Contain: Includes or excludes products with specific keywords (e.g., Type does not contain "A").

  • Starts With/Ends With: Filters based on the beginning or ending of the attribute's value.

  • Exists In: Ensures the attribute is present in a specific list of values.

This way, you can create profiles tailored to your needs, ensuring accurate and efficient product grouping for Etsy listings.

For variation mapping, specify options like size, color, or material to match your product variants accurately.




Variation Mapping for Profiles: Ensuring Accurate Product Listings

Once you've established a basic category for your profile (e.g., shoes), the Variation Mapping feature allows you to map Shopify product attributes to their corresponding Etsy ones. This ensures that product variants, such as sizes, colors, materials, or styles, are accurately reflected on Etsy, making your listings more precise for potential buyers.

How Does Variation Mapping Work?

  1. Identify Variants in Shopify
    Shopify attributes like Color, Size, or Material define the variations of your products. For example:

    • Color: Red, Blue, Green

    • Size: 7, 8, 9

  2. Map Attributes to Etsy
    Using the Variation Mapping section, match your Shopify attributes to Etsy's predefined options. For instance:

    • Shopify's Primary Color → Etsy's Color

    • Shopify's Size → Etsy's Size

  3. This ensures that Etsy accurately understands your product's variant details.

  4. Standardize Variant Information
    If Shopify attributes are labeled differently (e.g., Primary Color vs. Color), you can link them to the equivalent Etsy attribute, avoiding inconsistencies in your listings.

Tips for Efficient Variation Mapping

  1. Ensure your Shopify attributes are clearly labeled and consistent across products.

  2. Use the search functionality to quickly locate and map attributes.

  3. Regularly review mapped attributes to keep them up to date as your product catalog evolves.

With proper variation mapping, you can maintain accurate, detailed, and visually appealing product listings on Etsy, giving your customers a seamless shopping experience.

Add Attribute Feature: Customize and Map Your Attributes


The Add Attribute feature allows you to add custom attributes from your Shopify store and map them to Etsy's attributes. This is especially useful when your products have unique or additional attributes that aren't predefined in either Shopify or Etsy. By using this feature, you can ensure your product details are comprehensive and tailored to your customers' needs.

How Does the Add Attribute Feature Work?

  1. Add Your Custom Attribute

    • Click the Add Attribute button in the Variation Mapping section.

    • Enter the name of your custom attribute (e.g., “Occasion,” “Pattern,” or “Scent”).

  2. Map to Etsy Attribute

    • Select the corresponding Etsy attribute from the dropdown list, or map it as a custom attribute.

    • For example:

      • Shopify’s Occasion → Etsy’s Custom 1

      • Shopify’s Pattern → Etsy’s Style

  3. Apply to Profiles

    Once added and mapped, this custom attribute can be applied to all relevant products assigned to the profile.


About the Listing


This section helps ensure your product complies with Etsy’s guidelines.

  • Who made it?: Indicate whether you or someone else made the item.

  • What is it?: Specify if the item is a finished product or a tool/supply.

  • When did you make it?: Select the time of creation (e.g., Made-to-order).

  • Production Partner: Select or add a production partner if you collaborate with an external individual or company to produce your designs, such as printers, artisans, or manufacturers.


  • Listing Renewal: Choose between automatic or manual renewal. Etsy charges $0.20 per listing every four months.


  • Shop Section: Organize your products into specific categories within your Etsy shop to help buyers easily find what they’re looking for.

  • Product Details

  • Materials: Specify the materials used in the product, if relevant.

  • Styles: Describe the style, if applicable.

  • Is Personalization Available?: Enable this option if buyers can personalize the product, such as adding names. You can set a character limit and provide instructions for personalization, such as Enter the name you want on the necklace (Max 12 characters, no spaces).


Shipping and Policies

  • Shipping Template: Choose an existing template or create a new one to define your shipping details.

  • Policy Template: Select an existing policy template or create a new one that outlines your return and exchange policies.

Advanced Mapping


  • Inventory Template: Select an inventory management template to sync stock levels.

  • Price Template: Choose a pricing template to standardize pricing across similar products.

  • You can also create a new template by clicking on Create a New One for either, in case that is required. 

Make sure to click on Save before exiting the page. 

By setting up a profile, you ensure your products are categorized and ready for listing on Etsy with the appropriate attributes, ensuring a smooth listing process.

Additionally, in the profile grid, you can perform the following actions for each profile:


  • Edit: Click to modify the profile's details, including category, attributes, and shipping templates.

  • Clone: Use this option to create a copy of the existing profile. This is useful if you want to reuse the same settings with minor adjustments for new products.

  • Delete:
    Select this to remove the profile from the list.
    Notes
    Be cautious, as deleting a profile will also unassign any associated products.
