AliExpress Policies

The AliExpress Policies section helps you configure and manage the rules that control how products, prices, inventory, images, and orders behave between your Magento store and the AliExpress marketplace.

Types of Policies

  • Synchronization Policy – Outlines how your Magento store’s product data (price, inventory, product updates) will be automatically synced with AliExpress.

  • Inventory Policy – Defines how your product stock levels are managed and displayed on AliExpress.

  • Image Policy – Specifies rules for product images that will be used when listing on AliExpress.

  • Pricing Policy – Determines how product prices are calculated, adjusted, or converted before being sent to AliExpress.

  • Order Policy – Configures how orders from AliExpress are created, mapped, and managed in Magento.

Managing Policies

Add Policy

To create a new policy, click on the Add Policy dropdown located at the top-right of the page and select the type of policy you wish to create.
The following policy types are available:

  • Image Policy

  • Inventory Policy

  • Pricing Policy

  • Order Policy

  • Synchronization Policy

After selecting a policy type, you will be redirected to its configuration form where you can enter specific details and rules.

Edit Policy

Step 1: Under the Action column in the policies grid, click on the Edit option for the policy you want to update.
Step 2: Modify the fields specific to that policy type.

  • For example, in a Pricing Policy, you may adjust price attributes, conversion rates, or markup rules.
    Step 3: Save your changes to update the policy.

Delete Policy

Step 1: Select the policy you wish to delete using the checkbox in the grid.
Step 2: From the Actions dropdown above the table, choose Delete.
This will remove the selected policy permanently.

Notes

Notes from the Interface

  • Order and Synchronization Policies can be assigned at the account level.

  • Image, Price, and Inventory Policies can be assigned at the Listing Template (Product) level.

  • After configuring policies, you may proceed to create Listing Templates.

Managing Policies in AliExpress

Managing Image Policy

You need to provide the details of the following fields to create a new image policy:

  • Title: Enter the name of the policy for internal identification.

  • Main Image: If you have a custom product attribute in your Magento 2 store that you want to use as the Main/Base image for a product on AliExpress, you can choose that attribute here. For example, if you have assigned an image in an attribute named marketplace_image in Magento, and you prefer to use that image as the base image on AliExpress instead of the default Magento base image, you can choose that attribute here.

  • Default Image URL: When no product images are available in Magento, use this option to set up a default image for those products. You can either select an existing image from the Magento gallery or upload a new JPG/PNG image (max size 2MB).

  • Gallery Images: Define the maximum number of product images from Magento to be uploaded to AliExpress. For example, if a product has 20 gallery images in Magento but you want to upload only 5, you can set that number here. The default image will also be counted within this limit.

Once done, click Save to create the policy.

Managing Inventory Policy

To create a new inventory policy, provide details for the following fields:

  1. Inventory Threshold Settings:

    • Title: Internal name for the policy.

    • Default Quantity: Quantity synced to AliExpress if no stock is available in Magento or if “Manage Stock” is set to “No”.

    • Threshold Buffer: Reserve quantity for Magento only. Example: If you have 18 products but only want 13 to be listed on AliExpress, set the buffer to 5.

    • Set Inventory on Basis of Threshold: Enable this option to manage AliExpress inventory using threshold values.

      • Threshold Value – Quantity in Magento to trigger sync rules.

      • Inventory for Greater Than Threshold Value – Quantity synced to AliExpress if Magento quantity is above threshold.

      • Inventory for Lesser Than Threshold Value – Quantity synced when Magento quantity falls below threshold.

  2. Example: If Threshold = 10, Greater Than Threshold Value = 20, and Lesser Than Threshold Value = 2 → AliExpress will show 20 until Magento stock falls to 10, then sync 10, and finally sync 2 if stock drops to 9.


    Notes Note: Enter 0 in “Lesser Than Threshold Value” if you want products to go out of stock on AliExpress once Magento stock falls below threshold.



  3. MSI Setting:

    • Use MSI: Enable this if Multi-Source Inventory (MSI) is active in Magento.

    • Source: Select the inventory source for synchronization.

    • Salable Stock: Define salable stock for synchronization.


NotesNote: Salable quantity takes priority over source quantity.

Click Save when done.

Managing Pricing Policy

To create a pricing policy, configure the following:

  • Title: Policy name for identification.

  • Price Attribute: Choose which Magento product attribute will be used as the AliExpress product price. Example: If you want to use Minimum Advertised Price instead of the default price attribute, select that here.

  • Price Change By: Define markup/markdown rules. This can be a fixed amount or a percentage adjustment.
    Example: Increase all product prices by 10% by selecting “Percent Increment” and entering 10.

Click Save once configured.

Managing Order Policy

Provide the following details to set up an order policy:

  • Title: Internal name for the policy.

  • Create Order in Magento: Enable this to create AliExpress orders in Magento.

When enabled, additional fields appear:

A. Order Settings

  • Create Order When: Select the AliExpress order status at which orders should sync into Magento.

  • Alternate SKU Attribute: Map AliExpress SKU with a custom Magento attribute if SKUs differ between platforms.

  • If Product Not Exist: Choose between Create Product and Order (auto-create placeholder product) or Do Not Create Order.

  • Order for OutOfStock/Disabled Product: Allow order creation even if the product is out of stock or disabled.

  • Use Magento Taxes: Include Magento tax in synced order totals.

  • Allow Order Notification: Receive an email notification when an AliExpress order is created in Magento.

  • Order ID Prefix: Add a prefix to identify AliExpress orders in the Magento order grid. Example: ALIEXP-000001.

B. Invoice Settings

  • Invoice Creation: Automatically create Magento invoices for AliExpress orders.

C. Shipment Settings

  • Shipment Creation: Automatically create shipments on AliExpress when a Magento shipment is processed.

  • Carrier Mapping: Map Magento carriers with AliExpress carriers to ensure accurate sync.

D. Customer Settings

  • Guest Customer: Create orders as guest checkouts.

  • Real Customer: Create unique customer accounts in Magento using AliExpress customer emails.

  • Same Customer: Assign all AliExpress orders to one specific Magento customer account.

E. Order Status Mapping

  • Add Order Status: Map AliExpress order statuses with Magento order statuses.

Save the policy when complete.

Managing Synchronization Policy

Configure the following fields to set up synchronization rules:

  1. Title: Policy name for identification.

  2. Cron Settings:

    • Product Upload: Automatically upload new products from Magento to AliExpress.

    • Product Update: Automatically update product details on AliExpress when modified in Magento.

    • Inventory/Price Sync: Automatically update price and stock when changes occur in Magento.

    • Product Assign: Assign products automatically to a listing template if query conditions are matched.

  3. Product Settings:

    • Sync Not Visible Individually Products: Sync “Not Visible Individually” products with AliExpress if enabled.

    • Only Specific Attributes Syncing: Trigger synchronization only when selected attributes are updated in Magento. Example: If “Color” is selected, then only Color updates will sync, not Size or Quantity.

  4. Activity Log:

    • Enabled: Records and stores all synchronization activity.

    • Disabled: No activity logs will be stored.

  5. Synchronization Feed Log:

    • Enabled: Keeps a detailed log of all data exchanges between Magento and AliExpress.

    • Disabled: No synchronization feeds will be logged.

Save the policy after completing the configuration.

High – can include markup/markdown rules, buffer stock logic, custom image mapping, etc.

Maintenance

Auto-managed by the system.

Requires manual review and updates if business rules or marketplace requirements change.

Examples

- Use default Inventory Policy to sync stock directly.

- Use default Order Policy to import all orders.

- Create a Pricing Policy to increase AliExpress prices by 10%.

- Create an Image Policy to upload only 5 gallery images.


Notes
Recommendation:

  • Start with default policies for initial onboarding.

  • Move to custom policies as soon as you need more control (e.g., handling different product categories, applying pricing rules, or mapping carriers).
